COURTESY APPOINTMENT

Understand that courtesy appointments are viewed as volunteer work and require the completion of the Volunteer Indemnification Form.  This form is included as page two and three of the courtesy letter and as a separate document below.

The Bureau of Labor and Industry's Frequently Asked Questions states the following information about volunteer work:

In order for an employee to qualify as a volunteer, these four criteria must be met:

  • The work must be at the employee's initiative.
  • The work must be outside normal or regular work hours.
  • The employee must be performing a religious, charitable or other community service without contemplation of payment.
  • The employee must be performing a task outside of the regular job functions performed for the same employer.

NOTE: These appointments cannot be viewed in Banner because there is no pay involved.

WAGE AGREEMENTS
Hiring Instructions

***PLEASE NOTE*** Wage Agreements should be used only for employees who perform irregular services (i.e. non-credit instruction, consulting, short-term research, etc.) for the University, usually over a short period of time or on a one-time basis. Please adhere to the following guidelines when using wage agreements:

  • One cannot be paid on a wage agreement for a "salary/FTE" type of assignment.
  • Additional service beyond 1.0 FTE appointments are considered supplemental wage agreements.
  • Wage agreements contribute to the annualized FTE of employees.
  • Wage agreements are not to exceed half the current minimum Adjunct/Lecturer rate as designated by the AFT contract.
    Or
  • Less than half the annual "going" salary rate of an individual's current regular appointments with similar responsibilities/experience.

"Salary/FTE" types of assignments can only be paid as a wage agreement for service between June 16 and September 15 (9-month appointments); Wage agreements can be used for an additional service beyond one's salary/FTE type appointment (see Supplemental Wage Agreements).

Supplemental Wage Agreements

Performs services in addition to a 1.0 salary/FTE appointment. "Allowable sources of overload compensation include Continuing Education, Extension Services, Consulting, Seminars and similar services. Regular on-campus classes as well as time spent in support of grant and research activities are not allowable activities for overload compensation except under extraordinary or emergency circumstances." (OUS FASOM 10.33)

GRADUATE ASSISTANTS

Use the following guidelines for each term a student carries a graduate assistantship:

  • Graduate Assistants are not allowed to exceed .49 FTE in any term
  • Graduate assistantships must be offered from at least .15 but not to exceed .49 FTE
  • Any hourly work on campus will calculate into the .49 FTE
  • You and your student are responsible for monitoring the accrual of hours

If your GA has a:

  • .15 FTE appointment, 176 hours are available for additional hourly work per term
  • .30 FTE appointment, 98 hours are available for additional hourly work per term
  • .45 FTE appointment, 20 hours are available for additional hourly work per term
  • .49 FTE appointment, 0 hours available for additional work per term
